Who operates this website
ALCOLN is owned and operated by Alena Bikinesi. For privacy questions or requests, contact admin@alcoln.com.
Information you choose to share
An enquiry may include your name, email address, optional school or organisation, area of interest and message. Please do not include pupil records, health information or other sensitive personal information.
We use these details to consider and respond to your enquiry. An enquiry is not a marketing subscription, school registration or course enrolment.
Where website enquiries go
When the form confirms that an enquiry has been saved, it has been stored in ALCOLN’s private website storage on Hostinger for the owner to review. The confirmation does not mean that an email notification has been delivered or that the enquiry has already been read.
If you email us directly, your email is processed through the email services involved in sending and receiving it. Clicking an email link opens your email application; the website does not confirm email delivery.
Retention and access
Website-form enquiries are checked by a daily retention routine and normally removed once they are 90 days old. If correspondence continues by email, keep only what is needed to handle it and any applicable recordkeeping obligations. You may ask about or request removal of your enquiry using the contact address above.
Enquiry storage is outside the public website directory. Access is limited to the website owner and authorised hosting-account access. Website backups may temporarily retain copies under their configured retention period.
Cookies and security information
The enquiry form uses a necessary session cookie to protect submission. It is not an advertising cookie. Short-lived, hashed network-address information is used for submission rate limiting and removed by the retention routine after 24 hours.
The website does not use advertising trackers or third-party analytics. Hostinger may process technical access and security logs under the hosting service’s settings and policies.
Private school workspace
Schools may provide staff names, usernames, optional emails and access permissions, class and pupil names, school references, effective enrolment dates, attendance statuses and necessary notes, timetables, tasks, notices and learning records. Schools decide the purposes of their pupil and operational records. ALCOLN processes these on the school’s instructions; the agreed responsibilities and written data-processing arrangements must be confirmed before real-school onboarding.
ALCOLN uses account details to manage service access and support. Passwords are hashed, accounts are invited, school boundaries are enforced on the server and changes are logged. Site administrators have intentional, audited cross-school access for operation and support.
Parents, trips and essential pupil information
School administrators verify parent/guardian identities, relationships, pupil links and consent authority. Parent accounts receive private school information and can update essential allergy, support and emergency-contact details for their linked children. Trip responses record the parent, exact trip revision, decision and time. Changed trip details require renewed responses; silence is not consent.
Allergy and emergency-contact fields use authenticated encryption in private storage. Access is limited to linked parents and authorised school roles; school staff remain limited to authorised classes. These details are excluded from offline working copies, general dashboards and audit-message content. Report access/exports are logged without copying medical details into the logs. Exported/printed copies require secure school handling.
Schools must establish appropriate grounds and arrangements for handling health information and consent before collecting actual records. The software does not establish a legal basis or replace a school’s emergency procedures. Contact the school directly about urgent changes. House membership, captain/staff allocation and reasoned point awards/reversals are also recorded; surname suggestions require administrator review and do not establish family access.
School history and retention
The owner’s pilot policy is to retain school attendance, task and learning history for 24 months after the recorded leaving date, then review deletion with the owner and school. There is no automatic purge. Earlier requests and any applicable retention duties need individual review. A school should retain any separate records it needs. Suspended accounts lose online access while history is preserved.
Application databases and backups are stored privately on Hostinger, outside the website directory. The application backup routine retains the last 14 snapshots once scheduled. An approved deletion must cover primary records, working copies, exports and backup-restoration procedures; backup copies expire through their rotation.
Sign-in and optional offline copies
The workspace uses a necessary secure session cookie. On a trusted device, a user can choose to download an encrypted browser working copy of authorised records. It expires after 24 hours, is revalidated when reconnecting, and is removed on sign-out once pending work is resolved. Disconnected copies cannot be revoked instantly; an unlocked browser can expose them to another device user.
Local saves are pending until the server confirms them. Conflicting changes require review. Course assignments, lesson acknowledgements, knowledge-check attempts, progress and completion are stored within the integrated ALCOLN LMS on the same service. Audit records and selected administrator notifications record significant school actions. No external learning platform is used.
School-record requests
For access, correction, export or deletion of school records, contact the relevant school administrator. ALCOLN supports the school through admin@alcoln.com. For ALCOLN account or enquiry records, contact ALCOLN directly. Confirm hosting location, processing arrangements and each school’s privacy information during onboarding.
Questions and changes
Email admin@alcoln.com with questions, access/correction requests or a request to remove an enquiry. This page will be updated if the website’s data handling changes.
Policy readings and consultation appointments
School accounts record policy text and versions, administrator reviews, staff assignments and reading acknowledgements. Consultation records include the linked pupil, verified parent, teacher, appointment time, booking status and change history. Parents see their own linked-child appointments; teachers see their own appointments; school administrators manage their school’s records.
The public learning library contains standard ALCOLN educational content and starter policy text. It does not display school-edited policies, private learning records, parent details or appointment lists. Public knowledge-check practice does not create a personal completion record.
